BUSINESS NEEDS
Arican were experiencing significant growth and were keen to establish best practice document life cycle management while offering their staff a more comprehensive digital interface. In addition to the incremental cost, their current solution Dropbox was not providing the level of security they required for defence clients, and was unable to deliver streamlined document workflows from creation to approval and publishing of documents.
In addition, Arican needed an intranet solution requiring minimal support and maintenance.
THE PROJECT
To leverage Arican’s existing Microsoft 365 technology and licensing, WebVine identified SharePoint as the optimum platform on which to build out their document hub and intranet, leveraging Injio Go for its low-cost, templated delivery.
The project kicked off with a series of workshops to define objectives and shape Arican’s data framework. WebVine consultants mapped out workflows for key processes such as generating a new document, making revisions, approving and publishing.
To meet document management best practices, a classification for content types was introduced with accompanying naming conventions, indexing, meta data (attributes/fields) and meta tagging introduced. For security, a review of user roles was undertaken with permissions setup and configured.
WebVine carried out a full document migration from Arican’s existing Dropbox solution to their new Injio Go site.
OUTCOMES
Arican now has a highly secure SharePoint intranet and document hub powered by Injio Go. Staff have access to a single source of truth, housing and publishing all important news, communications and documents. Links to all company applications and resources are consolidated in one place, offering staff ease of use. Key modules like the robust staff directory help staff to connect and engage with the organisation and with each other.
